Administrative Assistant
Job Summary:
The Administrative Assistant is a vital role at The Partnership, ensuring the smooth operation of day-to-day tasks and directly assisting staff in the Risk and Administration Departments. This role manages a range of administrative, clerical, and office support duties, contributing to our team’s effectiveness and supporting the company’s mission.
Responsibilities:
- Schedule meetings and manage the calendar for department staff.
- Create and maintain spreadsheets and type reports using various software packages.
- Answer telephones, respond to inquiries, and direct calls appropriately.
- Order office supplies and coordinate equipment repair and maintenance.
- Organize and maintain program records and office files.
- Upload legal documents and associated data to the Partnership’s Contract Lifecycle Management system.
- Review incoming correspondence and draft standard responses for the CEO’s signature.
- Explain program procedures and departmental policies to the public and staff.
- Support other team members as necessary and work collaboratively across departments.
- Perform all related duties and responsibilities as assigned.
Required Skills:
- Ability to follow-up on requests and unresolved business matters promptly.
- Excellent verbal and written communication skills.
- Ability to interact with diverse backgrounds, cultures, and affiliations.
- Proficiency with Microsoft Office Suite
- Ability to work collaboratively via unified communications systems such as Microsoft Teams.
- Skill in organizing, maintaining files, and record accuracy.
Education and Experience:
- Minimum of two years of progressively responsible administrative or programmatic experience, or an equivalent combination of training and experience.
- Knowledge of the Workforce Innovation and Opportunity Act or other workforce development is preferred.
- Ability to travel throughout the region, state, and nationally as required.
Physical Requirements:
- Ability to work in office settings, use computers extensively, and engage in frequent verbal communication.
- May be required to travel to various work assignments, and must provide own adequate transportation.
- Occasionally, may need to lift or move office-related items of up to 25 pounds.
