Administrative Assistant

Job Summary:

The Administrative Assistant is a vital role at The Partnership, ensuring the smooth operation of day-to-day tasks and directly assisting staff in the Risk and Administration Departments. This role manages a range of administrative, clerical, and office support duties, contributing to our team’s effectiveness and supporting the company’s mission.

Responsibilities:

  • Schedule meetings and manage the calendar for department staff.
  • Create and maintain spreadsheets and type reports using various software packages.
  • Answer telephones, respond to inquiries, and direct calls appropriately.
  • Order office supplies and coordinate equipment repair and maintenance.
  • Organize and maintain program records and office files.
  • Upload legal documents and associated data to the Partnership’s Contract Lifecycle Management system.
  • Review incoming correspondence and draft standard responses for the CEO’s signature.
  • Explain program procedures and departmental policies to the public and staff.
  • Support other team members as necessary and work collaboratively across departments.
  • Perform all related duties and responsibilities as assigned.

Required Skills:

  • Ability to follow-up on requests and unresolved business matters promptly.
  • Excellent verbal and written communication skills.
  • Ability to interact with diverse backgrounds, cultures, and affiliations.
  • Proficiency with Microsoft Office Suite
  • Ability to work collaboratively via unified communications systems such as Microsoft Teams.
  • Skill in organizing, maintaining files, and record accuracy.

Education and Experience:

  • Minimum of two years of progressively responsible administrative or programmatic experience, or an equivalent combination of training and experience.
  • Knowledge of the Workforce Innovation and Opportunity Act or other workforce development is preferred.
  • Ability to travel throughout the region, state, and nationally as required. 

Physical Requirements:

  • Ability to work in office settings, use computers extensively, and engage in frequent verbal communication.
  • May be required to travel to various work assignments, and must provide own adequate transportation.
  • Occasionally, may need to lift or move office-related items of up to 25 pounds.
